Waitlists (Backorder)
Waitlists let you collect customers who want an out-of-stock or unreleased product, then notify them and create orders for them when stock arrives.
How It Works
Section titled “How It Works”Step 1 — Enable Backorder on the Keyword
Section titled “Step 1 — Enable Backorder on the Keyword”- Open the keyword for the product.
- Tick Allow Backorder.
This allows customers to attempt ordering even when stock is at zero.
Step 2 — Customer Tries to Order (Out of Stock)
Section titled “Step 2 — Customer Tries to Order (Out of Stock)”When a customer places an order and the item has no stock:
- The system tells the customer the product is out of stock.
- The customer is automatically added to the Waitlist.
No manual action is needed from you.
Step 3 — View the Waitlist
Section titled “Step 3 — View the Waitlist”Go to Boxify Dashboard › Others › Waitlists to see all customers waiting for each product.
Step 4 — Notify Customers When Stock Arrives
Section titled “Step 4 — Notify Customers When Stock Arrives”- Go to Waitlists.
- Select the customers waiting for the restocked product.
- Click the FB icon (top right) →

- Send your notification message.

Step 5 — Convert Waitlist Entries to Orders (Optional)
Section titled “Step 5 — Convert Waitlist Entries to Orders (Optional)”Instead of waiting for customers to order again yourself, you can create orders on their behalf.
- Select the customers inside the Waitlist.
- Click Convert (top right).
- The system creates an order for each selected customer.
This is useful during live selling or when releasing limited stock quickly.
Converting Waitlists — Important Notes
Section titled “Converting Waitlists — Important Notes”When you click Convert, a confirmation window appears.

You must choose how the keyword should be applied.
Option 1 — Use Keyword from “Waitlist”
Section titled “Option 1 — Use Keyword from “Waitlist””Select Waitlist to use the original keyword that triggered the waitlist entry.
Use this when:
- The restocked item is exactly the same.
- You want to keep the original product setup.
- Pricing and configuration have not changed.
Option 2 — Manual Assign
Section titled “Option 2 — Manual Assign”Select Manual Assign to pick a different keyword for the order.
Use this when:
- The item has a new keyword.
- The original keyword is inactive.
- You want to change the price or stock source.
Requirements Before Converting
Section titled “Requirements Before Converting”Before clicking Convert, make sure:
- The selected keyword is active.
- There is enough stock available.
- Quantity limits on the keyword are valid.
How the System Treats Converted Orders
Section titled “How the System Treats Converted Orders”The system processes a converted waitlist entry the same way it processes a comment order. All keyword rules apply, including stock validation and quantity limits.
